A video database helps a household or small organization answer basic questions: what is in the collection, where each item is stored, which version is available, and whether a backup exists. The best system is not necessarily the one with the most automatic features. It is the one that keeps accurate records, uses portable metadata, and remains understandable when software or devices change.
Decide whether the database will cover discs, tapes, personal recordings, legally acquired digital files, or all of these. Record formats and storage locations consistently. A simple identifier for each item—such as a shelf code or file ID—prevents confusion when titles are duplicated or when multiple editions exist.
Common fields include title, year, creators, performers, genre, running time, language, subtitles, edition, physical format, file format, resolution, rights status, condition, location, and notes. Avoid collecting personal data that is not needed. For family videos, names and dates may be sensitive, so access controls and careful sharing are important.
Software may retrieve posters, cast lists, descriptions, and identifiers from online databases. Automatic matching saves time but can select the wrong edition or title. Review imported data, keep the source identifier, and avoid treating promotional descriptions as objective summaries. Manual correction should be easy.
A predictable folder and filename scheme makes the collection usable even without the database application. Include enough information to distinguish titles and versions, but avoid excessively long paths or characters unsupported by older devices. Do not rely solely on an application’s internal database if the underlying files become impossible to identify.
A catalog is not a backup. Maintain separate copies of irreplaceable personal recordings and verify them periodically. Checksums can help detect silent corruption.
